General information on data processing

Our university processes personal data only where permitted by law or where the user has consented to such processing. Personal data refers to any information relating to an identified or identifiable natural person.

The legal basis for data protection is set out in the EU General Data Protection Regulation (GDPR), the State Data Protection Act (LDSG), the Federal Data Protection Act (BDSG) and the Digital Services Act (DDG).

The university has appointed a Data Protection Officer. This person provides advice on all matters relating to data protection:

Collection of data when visiting our website

Our web server automatically stores log data for every access to our files and web pages. This log data contains the following information:

  • Visitor’s IP address
  • Date and time of access
  • Method (e.g. GET, POST) and file or web page accessed
  • HTTPS status code of the response
  • Amount of data transferred in bytes
  • Browser information

This data is collected to ensure the security and stability of our website, to detect and rectify technical errors, and to prevent unauthorised access and misuse. Storage is based on our legitimate interest.

Log data is usually deleted automatically after 14 days, unless it is required for the investigation of security incidents. Log data is not used for marketing purposes or to create user profiles, and is not passed on to third parties unless this is necessary for the investigation of criminal offences or upon official instruction.

Use of cookies and similar technologies

To enhance your user experience and provide certain features, our university’s website uses cookies and similar technologies (such as local storage).

Cookies are small text files that are transferred to your computer and stored there when you visit our website. Each time you visit again, your browser automatically sends these cookies back to our server. This enables us to recognise you and save your settings – for example, to simplify navigation or keep you logged in. We distinguish between two types of cookies: session cookies are automatically deleted when you close your browser, whilst persistent cookies remain stored on your device for longer and enable an improved user experience on future visits.

Some session cookies are strictly necessary for logging in, authentication and accessing protected areas of our website. These cookies cannot be disabled, as they are essential for the basic functionality of our website.

NameDescription
phka_fe_userStores data for authentication and access to restricted areas after you have logged in.

In addition to cookies, we use our website’s local storage to save your privacy settings. Local storage is a storage mechanism in your browser that allows us to save your cookie preferences and privacy decisions locally on your device. This ensures that your settings are retained even after you close your browser and are taken into account during future visits. This data is not transferred to our servers and serves solely to respect the settings you have chosen.

NameDescription
phka_consentStores the information provided after you have confirmed your privacy settings.

For non-functional cookies and the integration of external services, we require your explicit consent. In the section below, you have the option to consent to or refuse the processing of your data.

Integration of external services

In addition to the necessary cookies and local storage functions, our website incorporates external services that help to enhance the user experience. These external services enable us to collect visitor statistics, provide video content and display current job vacancies. The use of these services is optional and requires your explicit consent. For each of these services, you have the option to consent to or refuse data processing on an individual basis – without this affecting the basic functionality of our website. Your settings are stored in local storage and can be adjusted at any time.

Visitor statistics

We use Matomo to analyse visitor data in detail, improve our website and optimise your user experience. Matomo is an open-source web analytics platform hosted on our own servers. It collects anonymised data about your usage behaviour on our website. No data is passed on to third parties.

Data collected:

  • Page views and navigation behaviour
  • Time spent on individual pages
  • Device and browser information
  • IP address (anonymised by removing the last 2 octets)
  • Geographical location (based on the anonymised IP address)
  • Where applicable, recognition of visitors via cookies

Embedding video content

Videos from the platforms YouTube (Google Ireland Limited, Ireland) and Vimeo (Vimeo Inc., USA) are embedded on our websites. To protect your privacy, we have implemented technical measures to ensure that data is only transferred once you have given your explicit consent.

If you consent to the embedding, data such as your IP address, browser information and information about your interaction with the videos will be transmitted to the external operators of the services.

Inclusion of job vacancies

We use interfaces provided by the BIT-E applicant management system to display our job vacancies on our website. When you access our job vacancies, a connection is established with the servers of BIT-E (BIT-E GmbH, Germany). In doing so, data such as your IP address and browser information is transmitted to BIT-E.

Data security

We implement state-of-the-art organisational and technical security measures to ensure compliance with data protection legislation and to protect the data we process against accidental or deliberate manipulation, loss, destruction or unauthorised access.

These include:

  • SSL/TLS encryption for data transmission
  • Access control and authentication
  • Regular security updates
  • Data protection through data minimisation (minimising data collection)

Despite these measures, we would like to point out that absolute security cannot be guaranteed on the internet.

User rights

As a user, you are entitled, upon request, to receive information free of charge regarding which personal data has been stored about you. Provided that your request does not conflict with a legal obligation to retain data (e.g. data retention), you have the right to have incorrect data corrected and to have your personal data restricted or erased.

Note on validity

Please note that our privacy policy may be subject to change over time. The version currently displayed is always the one that applies.
